Your information, treated the way we would want ours treated.
The short version: we collect the minimum, use it only to do the work you asked for, and never sell it. The longer version is below, in plain English.
Who we are
FTS (Fix The Systems) is a consultancy founded by Becky Hirst and Karen Cocks, working across Australia and the United Kingdom. You can reach us at contact@fixthesystems.world.
This policy explains what personal information we collect, why, and what you can do about it. It covers our obligations under the Australian Privacy Act 1988 (Cth), including the Australian Privacy Principles, and the UK GDPR and Data Protection Act 2018.
What we collect
Very little, honestly. If you email us, we hold your name, email address and whatever you choose to tell us. If we work together, we keep the contact and project details needed to do the work and meet our accounting obligations.
Like almost every website, our hosting provider keeps standard server logs (such as IP address and browser type) for security and performance, which are deleted automatically after a short period.
Analytics
We are passionate about systems and love nothing more than observing patterns. We use privacy-focused analytics to understand where in the world people are following our work, reading our resources, and listening to our podcast.
This data is aggregated and anonymous. We see broad patterns, such as countries, popular pages and listening trends, but not who you are or what you individually do. We do not use this information to track, profile, or identify individual people.
How we use it
We use your information to reply to you, deliver the work you have asked us to do, understand broad patterns in how people engage with our work, and meet legal and tax requirements.
We do not sell, rent or trade your personal information. We do not add you to mailing lists without asking. Under UK GDPR, our lawful bases are legitimate interest (responding to enquiries and understanding aggregate engagement), contract (delivering work) and legal obligation (records we must keep).
Who we share it with
Only the service providers needed to run the business, such as our email and hosting providers, and professional advisers such as our accountant. Each is bound to protect your information.
Because we work between Australia and the UK, your information may be processed in either country. Both jurisdictions have strong data protection laws, and we take steps to keep your information protected wherever it is handled.
How long we keep it
Enquiry emails are kept only as long as the conversation is active. Client records are kept for as long as the law requires for tax and accounting purposes, then securely deleted.
Your rights
Wherever you are, you can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it. Email contact@fixthesystems.world and we will sort it out.
If you are in the UK, you also have the right to restrict or object to processing, and to data portability. If you are in Australia, you can make a complaint to the Office of the Australian Information Commissioner (oaic.gov.au). If you are in the UK, you can complain to the Information Commissioner's Office (ico.org.uk). We would rather you came to us first so we can fix it.
Changes to this policy
